Post-event note : IT ALL WORKED OUT. The number of people who registered but couldn't be there roughly equalled the number of walkins, and we did not have any overcrowded situation. On the contrary, the walkins brought in more participation and liveliness to the event. So, building an understanding might be a better approach to handling over-crowding possibilities than absolutely barring the people from attending who hadn't been able to register in time.
Welcome to the perennial organizer's dilemma! We want this event to be inclusive and don't want you to miss out, but have one silly little constraint.
Our constraint on number of participants is mainly due to the size of the main hall at the venue. We've been told it can accommodate 80 people; we're pushing it to 100 for a squeeze.
But the venue itself is larger than that room; can accommodate many more people.
We're having everyone gather at the main hall only during the morning and evening gatherings (see Schedule). The rest of the day, people are going to be dispersed among various parallel breakout spaces, hanging out by the lawn, strolling by the exhibits, etc.
On top of that, naturally all the participants won't be able to be there all the time. Some people have other committments on Sat or Sun; at last minute something else may come up for some of the participants. It's a weekend after all.
So, why not build an understanding between us! If you've registered but were told you're on waitlist (if you registered after 5 July), or if you want to attend this event but haven't been able to register by the 12th of July...
Then please come to the event, but at your own discretion, if you find the main hall getting too crowded, then step outside for some time.
There won't be anyone policing the place, there won't be any demarcations between "in" and "out" (unless we run out of name tags, that is! Then make one yourself!). This is a citizen-driven, self-regulated event, so apply that principle to yourself. We want you to come and see all the exhibits, attend the sessions that interest you, make new connections. If we can build this understanding, सहानुभूति amongst ourselves, then the event will be a success, won't get over-crowded, AND we can all benefit from it. Ok??
